Working with Projects

Projects are the containers for your BPMN diagrams. Every diagram belongs to exactly one project, and access to a diagram is controlled by who is assigned to its project.

The Projects page lists every project you have access to, with the number of diagrams in each and when it was last modified. Use the Search projects box to filter the list by name.

Creating a Project

Click New project (or use one of the start cards at the top of the page) and choose how to begin:

Option What happens
Start from scratch Enter a name and optional description; an empty project is created and opened on its Diagrams page.
Generate from a picture A wizard creates the project and an AI job that builds the first diagram from a photo or screenshot of a flow.
Start from an SOP A wizard creates the project and an AI job that builds the first diagram from your procedure documents (PDF, Word, or text).

The AI options are described in Creating Diagrams with AI. They appear only when AI agents are enabled for your tenant.

Sharing a Project: Assign Users

On projects you own, the project row shows an assign users action (the person icon). It opens a dialog showing:

  • Project members - everyone who currently has access, with their role (the project creator is the Owner).
  • Add a user - other users in your tenant, each with an Assign button.

Only assigned users see the project and its diagrams.

Renaming a Project

Click the edit action (pencil icon) on the project row. You can change the name (up to 200 characters) and the description, then click Save.

Deleting a Project

Click the delete action (trash icon) on the project row and confirm. Deleting a project removes its diagrams as well, so make sure nothing in it is still needed - there is no undo.

The assign users, edit, and delete actions appear only on projects you own. On projects shared with you, you can open the project and work with its diagrams, but not change the project itself.

Opening a Project

Click the project name. You land on the project's Diagrams page, and the left navigation's Diagrams, AI Jobs, and Editor entries become active for that project.
